Job Summary
We are seeking a proactive and detail-oriented HR and Recruitment Assistant to manage daily recruitment activities and HR operations while supporting employees, clients, and leadership. This role ensures that hiring processes, HR policies, and employee management are executed accurately and consistently across multiple teams and client accounts.
Key Responsibilities
Recruitment:
- Create detailed job descriptions aligned with client requirements and internal standards
- Post job openings across platforms such as GoHire, LinkedIn, and Indeed
- Review resumes, shortlist qualified candidates, and conduct initial screening interviews
- Prepare interview questions and assessments per role
- Send assessments, monitor completion, and review results
- Summarize candidate profiles and interview notes for operations managers and final interviewers
- Schedule interviews and follow-ups with candidates, clients, and internal stakeholders
- Communicate interview confirmations, rejections, and offers
- Maintain updated recruitment trackers and candidate databases
Client and Hiring Coordination:
- Align client requirements with candidate qualifications before endorsement
- Clarify role expectations, schedules, KPIs, and tools with operations managers
- Conduct new hire orientation calls for new employees
- Support clients during new hire onboarding and initial work transitions
- Respond to staffing updates, performance concerns, and role adjustments
HR Operations and Employee Engagement
- Guide new hires through orientation, including attendance, tools, and schedules
- Ensure employees are added to required systems (Slack, email, time-tracking, client tools)
- Manage offboarding, including exit documentation and access removal
- Draft and send HR emails, Slack announcements, and employee notices
- Address employee questions related to schedules, attendance, payroll, and policies
Policy Implementation & Compliance
- Communicate HR policies (PTO, overtime, attendance, work guidelines)
- Follow up on missing documentation or non-compliance cases
- Coordinate with leadership on disciplinary steps when necessary
Performance & Timekeeping Support
- Monitor attendance and time logs (e.g., Clockify)
- Verify overtime requests, approvals, and supporting documentation
- Coordinate with operations managers on attendance or performance feedback
Process Improvement & Engagement
- Continuously improve recruitment and HR templates, workflows, and documentation
- Standardize interview formats and evaluation criteria
- Create and post internal engagement content, announcements, and reminders
- Support recognition initiatives by highlighting employee wins and participation
- Maintain professional, timely, and empathetic communication with employees, candidates, and clients
Administrative & Reporting
- Maintain accurate HR records, trackers, and files
- Support internal audits and documentation reviews as needed
Daily Tasks
- Review emails, Slack messages, and urgent requests
- Check recruitment channels for new applications and candidate responses (if hiring)
- Review interview schedules and confirm availability of candidates and interviewers
- Check onboarding, offboarding, or policy-related items scheduled for the day
Qualifications
- Proven experience in HR and recruitment, preferably in a multi-client environment
- Strong understanding of HR policies, recruitment platforms, and compliance standards
- Excellent communication, organization, and multitasking skills
- Ability to handle sensitive information with discretion
