Job Summary

We are seeking a highly organized and results-driven Recruitment-Focused HR and Recruitment Assistant to support high-volume hiring operations. The role will primarily focus on sourcing, screening, and coordinating recruitment activities for virtual assistant (VA) and call center/voice agent positions, ensuring a fast and efficient hiring pipeline across multiple accounts.

The ideal candidate should have hands-on experience managing high-volume recruitment, strong familiarity with recruitment platforms, and the ability to work in a fast-paced, performance-driven environment.

 

Key Responsibilities

High-Volume Recruitment & Sourcing

  • Execute end-to-end recruitment processes with primary focus on high-volume hiring.
  • Source, review, and shortlist candidates for VA, customer service, and call center/voice roles.
  • Post job openings across recruitment platforms such as GoHire, LinkedIn, Indeed, and other relevant channels.
  • Conduct initial screening interviews to evaluate communication skills, experience relevance, and role fit.
  • Manage candidate pipelines to ensure consistent interview flow and reduced time-to-hire.
  • Prepare interview questions and basic assessment materials aligned with role requirements.

 

Candidate Coordination & Pipeline Management

  • Schedule and confirm interviews with candidates, recruiters, operations teams, and clients.
  • Send assessment links, monitor completion, and review basic assessment outputs.
  • Document interview feedback, candidate summaries, and hiring recommendations.
  • Communicate application updates, interview results, and offer details professionally and promptly.

 

VA and Call Center Recruitment Experience (Preferred)

  • Prioritize sourcing and evaluating candidates for:
  • Virtual Assistant roles (general VA, administrative VA, marketing VA, or operations support)
  • Call center and voice-based customer service or sales agents
  • Assess communication skills, customer handling ability, and work readiness for remote roles.

 

Client and Operations Alignment

  • Coordinate hiring requirements with operations managers and stakeholders.
  • Clarify role expectations, schedules, KPIs, and tool requirements before candidate endorsement.
  • Support onboarding coordination for new hires during their transition period.

 

HR Operations Support

  • Assist in conducting new hire orientation sessions covering attendance, tools access, and work guidelines.
  • Support employee system onboarding including Slack, email accounts, time-tracking tools, and client platforms.
  • Manage basic offboarding tasks such as documentation, access removal, and exit coordination.

 

Policy, Compliance, and Timekeeping Support

  • Communicate HR policies including attendance, PTO, overtime, and work standards.
  • Monitor candidate and employee compliance with required documentation.
  • Assist in reviewing time logs and supporting overtime validation when needed.

 

Process Documentation and Improvement

  • Maintain recruitment trackers, candidate databases, and HR records.
  • Support standardization of interview templates, screening scripts, and evaluation forms.
  • Contribute to improving recruitment workflows for faster and more accurate hiring.

 

Communication & Engagement

  • Maintain professional, empathetic, and timely communication with candidates, employees, and clients.
  • Assist in internal announcements, recruitment updates, and employee engagement initiatives.

 

Qualifications

  • Proven experience in high-volume recruitment.
  • Strong preference for candidates with experience recruiting virtual assistants and call center/customer service agents.
  • Familiarity with recruitment platforms such as GoHire, LinkedIn, Indeed, or similar tools.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and ability to manage multiple candidates and schedules.
  • Ability to handle confidential information with professionalism and discretion.
  • Experience working in remote or multi-client recruitment environments is a plus.
